Single sites are usually live in an afternoon — sign up, add your teams, create a sign-up poster for your staff to auto-enrol themselves (saves hours of data entry), either upload your existing rotas and checklists or easily create them in the web app, install the mobile app and off you go. You can then add training content, health and safety information and the rest at your own pace. Multi-site roll-outs take longer depending on the number of locations. The majority of your data can be brought in as Excel, copy-and-pasted from existing documents, or imported directly.

Yes — RIDDOR-aware accident reporting (we pre-fill the F2508 fields and flag reportable categories), Working Time Regulations checks on every rota you build (rest-period breaches surfaced before publish), and UK GDPR and Data Protection Act 2018 compliance on every employee and customer record we hold. We are ICO-registered, Cyber Essentials and ISO 27001-aligned. The AI Assistant Manager honours GDPR Article 22 by code, so no automated decision is final until a named human signs it off.
Yes — there is a public iOS and Android app, and the web app is fully mobile-responsive on top of that. Staff use the mobile app to clock in, out and on or off break (with photo and GPS verification to confirm they are who they say they are) and to leave end-of-shift feedback that helps you track morale and turnover. Checklists work on mobile too — push notifications, geo-location and weather capture, photos, signatures, QR scanning, every action timestamped and recorded properly. The mobile app works offline and syncs when the connection is restored. The mobile-responsive web app lets staff view schedules, request holidays, complete training and view health and safety records from any phone.
Your data is hosted in the UK, with daily encrypted backups to a separate UK-region account. Support is UK-based, real people, 9 to 5 Monday to Friday with on-call cover for incidents. No US data residency, no offshored ticket queue, no chatbot maze.
Yes — most of what you have on spreadsheets, Word documents or paper can be brought in. We accept CSV and Excel imports for employees, sites, rotas and training records, and ship ready-made checklist and risk-assessment templates for each industry so you do not type yours from scratch. Our scheduling and checklist imports will even recognise exports from other online providers — bring your rota or checklist file across and we will map the fields. Hand-written accident records can be brought in too — we read them with OCR and pre-fill the digital record. The bit nobody can migrate is paper that never got digitised in the first place, but once you are live, every new record is digital from day one.
No. The Free tier is free forever for one site up to 5 team members, no card required. Paid plans are month-to-month — cancel anytime, no notice period, no exit fees. Annual billing is available with a discount if you want it. You keep your data either way — every record exports as PDF or CSV at any time.
We are fairly sure you will not want to leave once you are up and running with the system and saving hours and money, but if you do, you can export every record (checklists, incidents, HR files, training records, accident reports) as PDF or CSV at any time, while you are a customer or on your way out. No lock-in formats, no proprietary file types, no exit fees, no 14-day download deadlines. We hold your data for 90 days after cancellation in case you change your mind, then permanently delete it in line with UK GDPR.
