If you're paying for a scheduling tool, a recruitment tool, an audit tool, an H&S management tool, an HR tool, a training tool and a separate time clock - they don't talk to each other. We do.

Module 12 / 12

Assistant Managers
All connected. All overseen.

Seven AI department managers that brief you and your management several times a day.

Late staff. Working-time-law breaches. Missed checklists. Overdue training. New applicants. Scheduling gaps. Incident trends. Your seven specialist AI managers - Health & Safety, Attendance, Checklists, Scheduling, Training, HR and Recruitment - watch everything across every site, every day, and tell you what matters before you ask.

Where it hurts, and what changes

Three operational drags. Three changes you'll feel in week one.

Pain · 01 Compliance is scattered across tools, paper and managers’ heads.
Then When the inspector arrives you spend half a day pulling evidence from six places, and still hope nothing’s missing.
With AMHQ One platform, one audit trail. Every checklist, signature, photo and incident timestamped and exportable in a single click.
Pain · 02 Managers spend two hours a day chasing rotas, training certs and missing forms.
Then That’s ten hours a week per manager that should be on the floor with the team.
With AMHQ The AI Assistant Manager surfaces only what’s late or off-track. Managers act, instead of hunt.
Pain · 03 Multi-site visibility means a phone call to every general manager.
Then You only find out about an incident, an audit failure, or a quiet site after it’s hurt the business.
With AMHQ Real-time dashboards roll every site up to area and head office. See the exception, drill into the detail.

Dear operator,

I’ve run a 24/7 facilities-management business, a restaurant and a couple of visitor attractions. I also happen to have a Computer Science degree. The thing every one of those businesses had in common was the same operational drag, the part nobody sells you a fix for.

It’s the toilet-check ticked off from the office instead of the toilet. The 3 a.m. WhatsApp saying someone won’t be in tomorrow. Staff clocking in and then sitting down for ten minutes, on the clock, before starting the shift. The accident book on the top shelf that nobody opens until the HSE asks for it. Risk assessments and COSHH sheets nobody can prove they’ve read. Rotas built by hand from a diary of holiday requests scribbled in the wrong week. A pile of CVs in an inbox from people who can’t legally work in the UK.

I tried the paper. I tried the spreadsheets. I tried half a dozen disconnected apps that each did one piece of it badly and cost a small fortune doing.

I built AssistantManagerHQ to replace all of it, one piece of software that knows what an operator’s day actually looks like, because the person who built it has lived it.

Yours, Simon Hynd
Founder & CEO, AssistantManagerHQ

P.S. If you read that list and recognised yourself, the Free tier exists for exactly you. One site, no card, all 3 suites at Essentials depth, the whole platform. Start there. You’ll know within an afternoon whether this fits.

Frequently asked questions

How long does onboarding take?

Single sites are usually live in an afternoon — sign up, add your teams, create a sign-up poster for your staff to auto-enrol themselves (saves hours of data entry), either upload your existing rotas and checklists or easily create them in the web app, install the mobile app and off you go. You can then add training content, health and safety information and the rest at your own pace. Multi-site roll-outs take longer depending on the number of locations. The majority of your data can be brought in as Excel, copy-and-pasted from existing documents, or imported directly.

Is the AI Assistant Manager a real working product or a roadmap claim?

It is live, running and already helping managers and owners save hours per week. Three automatic briefs a day keep you up to date on attendance, operations, health and safety, training, recruitment, missed tasks and checklists. All advisory decisions are signed off by humans, so there is no risk of the AI accidentally creating a tribunal for you.

Can I use just one module, or do I have to commit to all twelve?

No need to commit to all of it. Pricing is by suite — Health and Safety (Risk Assessments, COSHH, Accidents and Incidents, RIDDOR), Operations (Checklists, Employee Scheduling, Time Clock) or People (HR, Performance, Onboarding, Training, Recruitment, Bradford Factor). Take one suite, two, or all three, and within each suite you pick a depth tier (Essentials, Plus or AI). The AI Assistant Manager only spans whichever suites you have taken.

Are you RIDDOR, Working Time Regulations and GDPR aware?

Yes — RIDDOR-aware accident reporting (we pre-fill the F2508 fields and flag reportable categories), Working Time Regulations checks on every rota you build (rest-period breaches surfaced before publish), and UK GDPR and Data Protection Act 2018 compliance on every employee and customer record we hold. We are ICO-registered, Cyber Essentials and ISO 27001-aligned. The AI Assistant Manager honours GDPR Article 22 by code, so no automated decision is final until a named human signs it off.

Does it work on mobile?

Yes — there is a public iOS and Android app, and the web app is fully mobile-responsive on top of that. Staff use the mobile app to clock in, out and on or off break (with photo and GPS verification to confirm they are who they say they are) and to leave end-of-shift feedback that helps you track morale and turnover. Checklists work on mobile too — push notifications, geo-location and weather capture, photos, signatures, QR scanning, every action timestamped and recorded properly. The mobile app works offline and syncs when the connection is restored. The mobile-responsive web app lets staff view schedules, request holidays, complete training and view health and safety records from any phone.

Where is my data stored, and who is supporting it?

Your data is hosted in the UK, with daily encrypted backups to a separate UK-region account. Support is UK-based, real people, 9 to 5 Monday to Friday with on-call cover for incidents. No US data residency, no offshored ticket queue, no chatbot maze.

Do you migrate our existing spreadsheets, Word docs and paper records?

Yes — most of what you have on spreadsheets, Word documents or paper can be brought in. We accept CSV and Excel imports for employees, sites, rotas and training records, and ship ready-made checklist and risk-assessment templates for each industry so you do not type yours from scratch. Our scheduling and checklist imports will even recognise exports from other online providers — bring your rota or checklist file across and we will map the fields. Hand-written accident records can be brought in too — we read them with OCR and pre-fill the digital record. The bit nobody can migrate is paper that never got digitised in the first place, but once you are live, every new record is digital from day one.

Is there a contract or minimum commitment?

No. The Free tier is free forever for one site up to 5 team members, no card required. Paid plans are month-to-month — cancel anytime, no notice period, no exit fees. Annual billing is available with a discount if you want it. You keep your data either way — every record exports as PDF or CSV at any time.

What happens to our data if we leave?

We are fairly sure you will not want to leave once you are up and running with the system and saving hours and money, but if you do, you can export every record (checklists, incidents, HR files, training records, accident reports) as PDF or CSV at any time, while you are a customer or on your way out. No lock-in formats, no proprietary file types, no exit fees, no 14-day download deadlines. We hold your data for 90 days after cancellation in case you change your mind, then permanently delete it in line with UK GDPR.
